Title: Vice President of Finance & Operations

Airlink is a Washington, D.C.-based nonprofit humanitarian logistics organization that connects airlines with vetted nonprofits to deliver disaster responders and supplies to communities in crisis worldwide. 

The Vice President of Finance & Operations will report to the CEO and will contribute to Airlink’s overall mission by leading and supporting seamless fiscal, operational, and human resource management systems, procedures, and processes. The ideal candidate will possess solid process and fiscal management skills, knowledge of nonprofit accounting, experience with digital transformation programs, and a working knowledge of human resource best practices. They will play a critical role in defining Airlink’s path forward as part of the senior leadership team. In addition, they will have excellent written and oral communication skills and a keen interest in Airlink’s global humanitarian mandate.

Primary Responsibilities

The Vice President of Finance & Operations has primary responsibility for leading, managing, and optimizing policies, procedures, and systems across finance, human resources, and IT to empower Airlink’s humanitarian programs worldwide.  Additionally, they will manage and execute long-term strategic planning activities, including board, staff, and volunteer stakeholder management.

Strategy Formulation & Performance

  • Lead the team in goal and objective setting, oversee quarterly performance management

Humanitarian Relief Program Management

  • Lead humanitarian program financial performance monitoring (and reporting) and internal operations, processes, and procedures.
  • Prepare monthly and ad hoc financial reports to support rapid decision-making.

Organizational Financial Management

  • Lead the annual budget development process, monitor expenditures and variances, and proactively update income and expense projections;
  • Prepare monthly and ad hoc financial reports for the CEO and the Board of Directors;
  • Chart cash flow and ensure cash flow needs and adherence to Investment Policy;
  • Manage annual audit process and serve as the primary liaison with the audit firm;
  • Oversee tax preparation and filing;
  • Supervise administrative team to ensure timely and accurate bookkeeping, bank deposits, receivables, and payables;
  • Negotiate, prepare, and monitor all vendor and consultant contracts;
  • Manage accounting firm to perform all balance sheet reconciliations (bank accounts, investments, prepaids, deposits, accruals, depreciation, etc.) and prepare month-end close;
  • Oversee and track grant and donor receivables, both cash and in-kind;
  • Develop and implement systems, policies, and procedures to ensure compliance with USG or other funding requirements;
  • Set up and manage people and systems to ensure adherence to restricted grant budgets and emergency response campaigns;
  • Oversee and reconcile travel budgets and compliance with procedures and cost containment;
  • Develop and manage general ledger and fund accounting systems and procedures, coding of payroll and other expenses to various programs through monthly cost allocations;
  • Select, set up, and manage fiscal and payroll systems to ensure timely and accurate use and reporting;
  • Ensure all fiscal policies, procedures, and documentation requirements are adequate to protect the organization.

Information Technology

  • Spearhead enterprise-level digital transformation initiatives.
  • Establish and implement technology strategies and solutions that align with business objectives, increase operational efficiency, and appropriately manage risks.

Operations

  • Oversee management and maintenance of all office systems and facilities;
  • Develop and oversee document retention policies and manage the disposal of records;
  • Develop and oversee risk assessment and emergency planning policies and procedures;
  • Oversee organizational insurance policies and ensure organization is adequately covered;
  • Ensure emergency and security policies and procedures are understood and followed, including cyber-security procedures; and
  • Oversee compliance with state and federal registration and reporting obligations, including state charity registrations.

Human Resources

  • Responsible for all human resources (HR) functions including hiring practices, employee review policies, professional development, and other HR activities.
  • Assure compliance with applicable HR, employment, and personnel laws and regulations.
  • Maintain updated personnel and operations policies and procedures and ensure compliance.
  • Oversee payroll, benefits administration, recruiting, onboarding, off-boarding, employee check-ins and exit interviews, and other human resource needs.
  • Train and orient staff on personnel policies and procedures.
  • Oversee hiring and supervision of all administrative staff and administrative volunteers.

Professional Qualifications

  • 10+ years of Nonprofit leadership experience with a demonstrated track record of success scaling financial, operational, and administrative functions.
  • A minimum of 5 years of broad nonprofit financial and operations management experience
  • 3+ years developing policies, procedures, and systems for USG funds
  • Experience working with sub-grants, including USG compliance and training of sub-grantees
  • An experienced change agent with the ability to build trust and credibility quickly with multiple internal and external stakeholders.
  • Collaborative management style and proven success in building and developing high performing teams.
  • Strong executive presence and prior experience interacting at the Board and C-level.
  • Strong business, and financial acumen.
  • Excellent written and oral communication skills.
